Smart locks can remove one of the most frustrating parts of hosting: coordinating keys with guests who arrive late, change plans or forget where they put the lockbox instructions.

But installing a keypad is only the beginning. A guest code needs to be unique, active at the right time, easy to find and removed when the reservation ends. Cleaners and contractors need separate access. The host also needs a plan for dead batteries, a disconnected lock or a guest standing outside at midnight.

The goal is not simply keyless entry. It is a repeatable access system that works from booking through turnover without leaving old codes active indefinitely.

The Short Version

For a reliable Airbnb smart lock setup:

  1. Give every reservation its own guest code.

  2. Schedule the code to begin at check-in and expire shortly after checkout.

  3. Give cleaners, co-hosts and contractors separate codes.

  4. Confirm the lock is online, powered and synchronized before arrival.

  5. Put clear keypad instructions in the guest's arrival guide.

  6. Maintain a backup entry method that does not depend on the smart lock working.

  7. Review code history and remove unused permanent or backup codes.

Hosts using a compatible lock may be able to automate much of this through Airbnb. Everyone else needs to build the same lifecycle manually through the lock manufacturer's app or a property management system.

Airbnb direct integration

Airbnb's connected-lock feature can automatically create a unique four-digit code for each reservation. The code is shared with the guest after booking, becomes active at check-in and expires after checkout.

The default expiration is 30 minutes after checkout. Hosts can adjust that buffer from 15 minutes to two hours. If an approved reservation change includes an early arrival or late departure, the code window updates with it.

Direct integration is currently available to eligible listings in the United States and Canada using compatible internet-connected keypad locks from Schlage, Yale or August. Compatibility is model-specific. Owning a Wi-Fi lock from one of those brands does not automatically mean it can connect to Airbnb.

Property management system integration

A property management system can generate codes, match them to reservations and deliver them through scheduled messages. In that arrangement, the PMS remains responsible for managing the lock.

Airbnb may display the code to the guest, but it may not have access to the lock's battery level, online status or real-time alerts. Hosts still need to monitor the lock through the PMS or manufacturer app.

Airbnb also limits the integration to one smart lock per listing. Properties with a gate, shared entrance or second locked door may need separate instructions and access management.

Manual code management

Manual management can work perfectly well for a single property. It simply leaves more room for human error.

The host must create the code, set the active dates, send the instructions, update the schedule when a reservation changes and confirm that the code expires. That should be a written turnover process, not something handled from memory between laundry loads.

Build a Code Lifecycle for Every Reservation

The safest guest code is not just unique. It has a clear beginning, a clear ending and an owner.

1. Create a different code for every reservation

Do not give every guest the same permanent code. Reusing one code means a former guest may retain access until somebody remembers to change it.

Connected Airbnb locks generate unique codes automatically. With a manual workflow, create a new code inside the lock app and label it with the reservation date and guest name. A label such as 08/24 Taylor is easier to audit than Guest 7 three months later.

Avoid using the host's personal code, a cleaner's recurring code or a programming code. Those credentials serve different purposes and should never appear in guest messages.

2. Match the code window to the reservation

Set the code to activate at the property's published check-in time. Set it to expire shortly after checkout, allowing a modest buffer for a guest who is carrying luggage to the car or making one final trip inside.

Do not activate every code days before arrival simply because the guest received it early. Guests can receive the instructions in advance while the code remains inactive until check-in.

If the guest receives approved early check-in or late checkout, change the access window as part of the reservation update. Do not create a second permanent code as a shortcut.

3. Confirm the code reached the lock

Creating a code in an app does not always mean the lock received it.

Before arrival, check for a pending-code warning, offline status or synchronization error. A lock that lost internet access may continue accepting codes already stored locally, but it may not receive a newly created or changed code until the connection returns.

4. Deliver the code with complete instructions

A door code without keypad instructions still creates support messages.

Tell the guest:

  • where the correct entrance is located

  • how to wake the keypad

  • whether a checkmark, lock button or brand button must be pressed

  • how to lock the door when leaving

  • when the code becomes active

  • what to do if the keypad does not respond

Airbnb's direct integration places the code in reservation details and can include a visual showing how the keypad works. Manual setups should provide the same clarity through the arrival guide and scheduled messaging.

5. Confirm expiration after checkout

Automated systems should remove or deactivate the guest code when the reservation ends. Manual users should verify expiration during the turnover checklist.

If a reservation is canceled, remove its code immediately. If the lock is offline, confirm the deletion again after connectivity returns.

A Guest Message Template That Reduces Confusion

Hosts can adapt this template to their specific lock:

Your door code is [GUEST CODE]. It becomes active at [CHECK-IN TIME] on [CHECK-IN DATE] and expires after checkout on [CHECKOUT DATE].

To unlock the door: wake the keypad, enter your code and press [CONFIRM BUTTON].

To lock the door when leaving: close the door firmly and press [LOCK BUTTON OR INSTRUCTION]. Please confirm that the deadbolt fully extends.

If the keypad does not respond, message us through Airbnb before trying additional codes.

Do not include a programming code, master code or hidden backup-key location in a routine scheduled message.

Cleaners, Co-Hosts and Contractors Need Separate Codes

Guest turnover becomes harder to audit when everybody uses the same keypad code.

Create separate credentials for:

  • cleaners

  • co-hosts

  • maintenance technicians

  • landscapers who need gated access

  • emergency local contacts

A cleaner who visits every Tuesday may need a recurring time-limited code. A repair technician may need a temporary code for one afternoon. A co-host may need an always-active code, but it should still be different from the owner's code.

Separate codes make the activity history more useful. They also allow one person's access to be removed without changing the credentials used by everyone else.

Avoid giving service providers administrator access to the lock account unless they genuinely need to create codes, change settings or invite other users.

Backup Codes and Backup Entry Are Not the Same Thing

This distinction matters when a guest is already outside.

A backup code is another keypad code stored on the lock. It can help when the normal reservation code failed to synchronize, but the lock is still powered and the keypad works.

A backup entry method does not depend on the smart lock being usable. This might be a physical key stored in a secure lockbox, access through a staffed front desk or assistance from a nearby co-host.

A backup code will not solve dead batteries, a broken keypad, a jammed deadbolt or a physically damaged lock. Every rental needs a backup entry method for those failures.

Keep the backup method protected. Do not place its permanent instructions in a public listing description or an automatic message sent to every inquiry. Airbnb can store backup-entry instructions and release them to a confirmed guest when a connected lock has a problem.

If an always-active backup code is shared, remove it after the stay. When a lock has been offline, verify the removal after the connection returns.

Battery and Connectivity Maintenance

Most smart-lock emergencies are much less dramatic than a cyberattack. The batteries are low, the door is misaligned or the Wi-Fi connection disappeared.

Add these checks to the turnover process:

Before every arrival

  • confirm the guest code exists and has the correct schedule

  • confirm the lock reports online, if remote connectivity is expected

  • review the battery indicator

  • lock and unlock the door once from the keypad

  • confirm the deadbolt moves without rubbing or binding

  • make sure the backup entry method is available

On a regular maintenance schedule

  • replace batteries before they become critical

  • inspect the strike plate and door alignment

  • remove expired or unused permanent codes

  • update the lock firmware and mobile app

  • confirm notifications still reach the correct host or co-host

  • inspect any exterior keypad for weather damage or worn buttons

Do not wait for the manufacturer's lowest battery warning if the property is remote or frequently booked. A conservative replacement schedule is cheaper than an emergency callout and a guest waiting on the porch.

Notifications and Access History

Notifications are most useful when they point to an actionable problem.

Consider alerts for:

  • low or critical battery

  • the lock going offline

  • the first guest entry after check-in

  • a backup code being issued

  • the lock remaining unlocked after the expected departure

  • cleaner or contractor code usage

Avoid turning on every available notification for every lock. Constant noise makes the important warning easier to miss.

Activity history can help confirm that a code worked or identify which service credential opened the door. It should not become a substitute for clear communication with guests or a reason to monitor normal movements unnecessarily.

What to Do When a Guest Code Does Not Work

Use a consistent troubleshooting order:

  1. Confirm that the guest is at the correct door.

  2. Confirm the code and reservation dates.

  3. Check whether the code is active in the lock app, Airbnb or the PMS.

  4. Check the lock's battery and connectivity status.

  5. Ask whether the keypad lights up and whether the deadbolt appears jammed.

  6. Resynchronize or create a temporary replacement code if the lock is operational.

  7. Use remote unlock only if the host can confirm the guest's identity and the door is safe to open.

  8. Release the backup entry method if the lock itself is unusable.

  9. Remove any temporary or backup code after the issue is resolved.

Do not send guests a master code as a troubleshooting shortcut. It may remain active after checkout and can be difficult to contain once it has been shared through messages or text.

Common Airbnb Smart Lock Code Questions

Do Airbnb smart lock codes expire automatically?

Codes generated through Airbnb's direct smart-lock integration become active at check-in and expire after checkout. The default expiration is 30 minutes after checkout, with an adjustable buffer. Codes created manually expire only if the host schedules or removes them.

Can an Airbnb door code work when Wi-Fi is down?

Often, yes, if the code was already stored on the lock and the lock still has power. An offline lock may not receive a new code or schedule change. The exact behavior depends on the lock and integration.

Should a cleaner use the same code as the guest?

Should a guest code use the last four digits of a phone number?

Does every Schlage, Yale or August lock connect directly to Airbnb?

What happens when a reservation is canceled?

Airbnb removes the guest code from a directly connected lock. With a PMS or manual workflow, confirm how cancellations are handled and verify that the code has been removed.

The Best System Is the One That Survives a Bad Check-In

A smart lock can make self check-in easier, but reliability comes from the process around it.

Every reservation should receive a unique, scheduled code. Every worker should have separate access. Every host should know whether the lock is online, powered and synchronized. Most importantly, every property needs a backup entry method for the moment when the keypad itself cannot help.
